Waybook is SOP and internal knowledge base software for growing teams, keeping procedures, onboarding, staff tests and AI answers in one place, priced per seat.
Waybook gives a business one written playbook for how its work gets done, from the employee handbook to the quality control checklist. It is built and sold by Waybook Ltd., an independent software company based in London. Knowledge is organised as Subjects that hold Documents, and each Document is broken into Steps. A long procedure therefore reads as a sequence a new hire can follow, and the whole team reads from one source of truth. Authors draft with the AI Content Writer and AI Actions, or bring existing .docx files across with the Microsoft Word Importer. A step can hold video, images, GIFs, tables, checklists, callouts, maps, PDFs and web embeds. Documents group into guided onboarding and training journeys with sections, deadlines and a forced order, and Tests check what people retained. Fuzzy search covers every title and step, while Waybook Ask answers questions from the company's own published documents within each member's permissions. Version history compares edits word by word, approval stages hold a document until each approver signs off, and document verification sets review dates with reminders. Waybook is aimed at growing businesses that need every person to follow the same process across teams and locations. HR and people teams keep handbooks, onboarding and compliance training in it, operations leads write standard operating procedures, and sales managers maintain playbooks. Real estate teams use it for their SOPs too. Admin, Author, Contributor and Reader roles, member groups and single sign-on with directory sync let a manager decide who edits each subject and who only reads it. A common first project is a new starter's first week, laid out as steps that end in an assessment, with completion tracked by team and by person. After launch the work shifts to upkeep: the search report shows what staff looked for and did not find, and review reminders flag documents due for a check. Flow charts with decision points map the trickier processes, and an Org Chart lays out the team structure. Connections to Slack and Microsoft Teams carry that knowledge into the chat tools staff already use, and Zapier links it to other apps. Through an MCP connection, Claude, ChatGPT and Microsoft 365 Copilot draw on the same documents, so a staff member asking how to handle a return gets the business's own procedure.
