Capsule CRM is a sales pipeline and contact management CRM for small businesses, with project boards for delivery work and a free plan.
Capsule CRM keeps a small business's customers, open deals and delivery projects in one shared account, so nothing lives only in one person's inbox or spreadsheet. Capsule, the Manchester company behind it, sells it alongside a single marketing add-on, Transpond. Each person or organization gets a record holding its notes, emails, files, tasks and linked opportunities. The aim is a CRM a team can use on the first day and extend as its sales process grows. Sales work runs through the Sales Pipeline, a board with a column for each Milestone where opportunities are dragged forward or read as a list. Pipeline Forecast projects income over time from each opportunity's value and milestone percentage. Project Boards work the same way after the sale, so a won deal becomes a tracked piece of delivery. Workflow Automations create tasks, send email notifications or change stages as records move, and Reporting Dashboards gather Activity, Tasks, Sales and Project Reports on one screen. The Form Builder places a lead capture form on a website, and a REST API with REST hooks passes records to other systems. Capsule is aimed at small businesses, from firms of one to five people up to sales teams with several salespeople. A two-person team can stay on the Free plan, while Starter suits a small firm that wants email templates, a shared mailbox and revenue goals. Growth brings the tools a sales team usually asks for first: email sync, several pipelines, automations and access controls. Advanced lifts the record and pipeline limits for bigger teams, and Ultimate adds an account manager and custom training. Paid plans are charged per user, monthly or at a lower annual rate, and each starts with a trial. On a working day the team logs calls and meetings against contacts, sets repeating follow-up tasks and moves opportunities between milestones. Replies sent through a connected Gmail or Outlook mailbox are stored against the contact, so the conversation stays with the customer record rather than in one inbox. Restricted users see only the records assigned to them, and the iOS and Android apps keep working offline on a client visit. Bookkeeping through Xero, QuickBooks or FreeAgent connects to the same account. That mix of a sales pipeline and project boards fits a services business that wins client work and then delivers it.
